Special Events Manager

Salary Range: $70,000 – $80,000


POSITION SUMMARY:

The Orange County Community Foundation (OCCF) is seeking a team player who is highly motivated and detailed oriented for our Special Events Manager.

Reporting to the Senior Director of Marketing & Communications, the Special Events Manager will play a pivotal role in strategically identifying and planning events that are instrumental in driving awareness, engagement, and excitement with our core audiences including prospects, donors, nonprofits, community partners, staff, and board members. The Special Events Manager will collaborate closely with OCCF leadership and key internal and external stakeholders to plan, execute, and evaluate a wide range of events including luncheons, educational seminars, evening events, workshops, galas, and more. Creativity, attention to detail, and exceptional organizational skills will be essential to the success of these events. This role will collaborate closely with the Marketing & Communications Manager to boost OCCF’s reputation and brand by developing campaigns for event awareness/promotion and creating engaging event content, materials, and presentations.

RESPONSIBILITIES:

  • Provide planning, organization, and execution support and/or oversight for all OCCF events, including donor events, workshops, internal staff events, annual meeting/gala, etc.
  • Develop the event marketing strategy and annual calendar of events in collaboration with Marketing & Communication and the Leadership team.
  • Organize and track event information, timelines, and tasks.
  • Implement the vision of event stakeholders and leadership team.
  • Lead event kickoff planning meetings for assigned groups.
  • Lead site/vendor selection and contract negotiation, RFP coordination, and management of production timelines efforts.
  • Develop and manage budgets, coordinate logistics, maintain rental/supply orders, manage vendor invoices/payments, etc.
  • Develop effective and collaborative relationships with internal and external stakeholders, participating in discovery meetings to understand the intended vision and objectives of each event, and suggesting solutions accordingly.
  • Lead communications with vendors, partners, and suppliers to ensure the vision of each event is executed as intended and within budget – tracking orders and ensuring production timelines are followed as needed.
  • Provide guidance and assistance to OCCF staff through the elements of event coordination including planning and execution as needed.
  • Collaborate with the marketing team to develop campaigns for event awareness/promotion and create engaging event content, materials, and presentations.
  • Manage event registration processes, attendee lists, and nametag printing (prior and on-site).
  • Facilitate transportation of event materials including signage, registration table materials, collateral, etc.
  • Provide day-of event management and oversight, including supervising on-site logistics, audio/visual support, vendor management, set-up/tear-down, etc.
  • Ensure the highest level of brand experience and quality service for event attendees.
  • Conduct post-event evaluations to measure success and gather feedback for improvement.
  • Provide post-event reporting and ROI analysis.
  • Occasionally represent OCCF at community and volunteer events as needed to support the efforts of the Marketing & Communications team.
  • Cultivate and build relationships with partners, vendors, and site staff to ensure effective execution of site initiatives/events.
  • Collaboratively assist with general marketing and communications tasks as needed.
  • Recommend new event marketing initiatives that best support Marketing & Communications goals.
  • Provide strategic counsel to the CEO and President on event-related topics on an as-needed basis.

MINIMUM QUALIFICATIONS:

Education

  • Bachelor’s Degree required. Preferred degree in marketing, business, hospitality, or related area of study.

Experience

  • 5 + years of event-related experience. Direct event management experience preferred.
  • Great organization skills, time management skills, and attention to detail.
  • Familiarity with MS Office Suite (including Teams, Excel, and PowerPoint), Salesforce and/or HubSpot, Instagram, Facebook, LinkedIn, WordPress, and other website administrative tools.
  • Exceptional leadership and communication skills.
  • The ability to work independently with minimal supervision and prioritize multiple projects while meeting tight deadlines is a must.
  • Demonstrated project management experience.
  • Must have reliable transportation.
  • Willingness to travel throughout Orange County to oversee events is a must.
  • Must be willing to work occasional evenings and weekends.
  • Ability to occasionally carry or lift items up to 20 lbs.
  • Must demonstrate a strong commitment to OCCF’s mission and core values.

COMPENSATION & BENEFITS:
The ability to work for an organization with a phenomenal mission, positive team-oriented work environment, a competitive salary (salary range is $70,000 – $80,000 and will be commensurate with experience) as well as incredible benefits including Medical, Dental & Vision, 403(b) retirement plan with an automatic contribution by the organization, 2 weeks of vacation, 2 weeks of PSL, 10 annual paid holidays and the opportunity for a 9/80 work schedule. The position will have the opportunity to work from home one day per week.
